Rights Management administration

Tenovos Rights Management allows you to comply with the terms of your license agreements, while also managing and protecting any licenses you distribute for your owned assets.

Administrators with the required permissions can create entities and agreements within Tenovos, assign specific license permissions to those agreements, and then apply those restrictions directly to an asset during the ingestion process.

NOTE: Rights Management is an add-on to the baseline Tenovos.

Entities

In Tenovos, an “entity” is the license holder that you are purchasing rights from or entering an agreement with. After an administrator creates the Tenovos entity, new license agreements can be assigned to that entity. Entities can be used across multiple projects and campaigns.

To create an entity:

  1. Go to Admin > Rights Management > Entities and click New Entity.
  2. Select the Entity Type and provide the required information for that type.
  3. Select a thumbnail image for the entity.
  4. Click Save.
  5. Add Associated Agreements. To add an agreement, click the + button to open the Associate Agreements dialog. Select one or more agreements, then click Associate. (You can also create a new agreement from this Associate Agreements dialog.)

Agreements

Agreement are the specifics of the license agreement and are assigned to entities. This allows you to open any entity in the system and immediately see what agreements you have that entity. There is no limit to the number of agreements that can be assigned.

When creating an agreement, you can specify:

  • The date the agreement takes effect
  • The data the agreement expires
  • Any territorial permissions / restrictions
  • Any media permissions / restrictions

To create an agreement:

  1. Go to Admin > Rights Management > Agreements and click New Agreement.
  2. Enter the Agreement Name, Extension Options, and any Comments.
  3. Click Save.
  4. Add Associated Entities, Rights, and Associated Projects:
    • Associated Entities. Click the + button to open the Associate Entities dialog. Select the entities to associate with this agreement, then click Associate. (You can also create a new entity from this Associate Entity dialog.)
    • Rights. Define the contracted rights for this agreement. This includes classification, exclusivity, term, allowed and denied territories, along with all media channels. After making your selections, click Save.
    • Associated Projects. The projects related to this agreement. Click the + button to open the Choose Project dialog. Select the projects to associate with this agreement, then click Done.

Projects

In Rights management, Projects allows you to create projects and link them to existing Tenovos entities and agreements. This tool enables you to automate the process of assigning rights permissions at the asset level.

For example, you may be launching a new Summer marketing campaign. As part of the campaign, you purchase rights to use some creative assets. When you ingest those assets to the platform, they can be assigned to the Summer campaign project and the system will automatically pull in all the rights and agreement terms for those assets.

To create a new project:

  1. Go to Admin > Rights Management > Projects and click New Project.
  2. Provide the required information: Project Name, Project Year, Project Quarter, and Internal Project ID.
  3. Provide any other available information such as Internal Creative Team and Events details.
  4. Click Save.
  5. After the project is Saved and created in the system, you can add Associated Agreements.*. To add an agreement, click the + button to open the Associate Agreements dialog. Select one or more agreements, then click Associate. (You can also create a new agreement from this Associate Agreements dialog.)

Tenovos attaches the agreement to this project and automatically associates all entities tied to this agreement in a single step. This project is now ready to be applied to assets.

You can attach rights to single or multiple assets by adding the project(s) to them. Once a project is added, all related entities and agreements will be displayed at the bottom of Asset Detail view under the Rights tab. Depending on the user’s role in the system, the available privileges to add/modify or remove rights/projects are also displayed here.

View all assets under an agreement

Tenovos solves the question of “What asset am I allowed to use?” by allowing you to filter assets by the agreement parameters that are assigned them. Using Rights Management search filters, you can filter out any assets that you do not have the rights to use in certain territories, with expired licenses, or with media restrictions. Alternatively, you can also search for all assets that are under a specific agreement.
