Upload assets

Users have two options when it comes to uploading assets to Tenovos:

  1. Upload files via the Upload UI
    • When uploading content via the Upload UI, users will be able to fully customize all metadata and security on the assets being uploaded. This use case is meant for experienced Content Contributors who are knowledgable of what security template(s) an asset should have, as well as the metadata that should exist on the asset.
  2. Upload files via Seamless Asset Ingest
    • Backed by asset presets, Seamless Asset Ingest allows users to easily drag and drop files to upload them to Tenovos, no metadata or security selections required.

The ability to upload assets requires the Upload or Upload with Approval privilege.

Upload assets via the Upload UI

To upload assets:

  1. In the navigation bar, click Add Files.

If you do not see the Add Files icon , the upload option is not available to you.

  1. Add the files to upload. You can Drag and Drop Files or Browse your local storage to select files.

    NOTE: If you complete the the following steps before adding files to upload, the Upload Assets button will change to Create Metadata-only Asset. It will revert to Upload Assets after you add files to upload.

  2. Select one or more Security Templates to apply to the assets.

    What is a security template?

    Security templates determine which user groups can access an asset and what they can do with that asset. When you create a user profile, you must select at least one group membership for that user.

  3. Select a Metadata Template for your upload. This applies a predefined group of attributes to the assets that you upload. The metadata template you select will determine the information required in step 6.

    What is a metadata template?

    Metadata templates group metadata attributes that are specific to an asset type. They are applied to assets at upload to tag them with relevant information for searching, filtering, and organization.

  4. After you have selected a security template and a metadata template, the following toggles will appear:

    • Show Required. Toggles optional fields.
    • Preference View. Shows or hides specific metadata attribute groups for individual metadata templates. Displays only the attributes that you can edit.
  5. Enter the information required by the metadata template you selected in Step 4.

  6. (Optional) Open the Add to Collection list box and select a collection or create a new collection by entering a name.

  7. (Optional) Click Add (+) in Associate Project to select a project for the assets.

  8. Click Upload (x) Assets to finalize the upload.

    While the upload is in progress, a placeholder preview image may be displayed until the asset is done processing.

Upload metadata-only assets via the Upload UI

To upload a metadata-only asset:

  1. In the navigation bar, click Add Files.

  2. Select a Security Template to apply to the assets.

    What is a security template?

    Security templates determine which user groups can access an asset and what they can do with that asset. When you create a user profile, you must select at least one group membership for that user.

Upload Assets via Seamless Asset Ingest

  1. Navigate to your Home Page, or to your Content Gallery.

  2. Browse your local storage to identify the files that you would like to upload.

  3. Drag and Drop the files onto the Tenovos UI.

Assets can only be ingested via the Seamless Content Ingest functionality via the Home Page and the Content Gallery

  1. Once the files are dropped onto the UI, Tenovos will check to see if the user performing the upload has a valid asset preset, and if so, if the user has all necessary permissions to upload assets to the security and metadata templates specified in the asset preset.
    • If the user has a valid asset preset assigned to their role and has all necessary permissions to upload assets to the security and metadata templates specified in the asset preset, the assets will be uploaded automatically, without requiring metadata or security input.
    • If the user does not have a valid asset preset assigned to their role, or they do not have the necessary permissions to upload assets to the security and metadata templates specified in the asset preset, the user will be redirected to the Upload UI, where they can proceed to Upload assets via the Upload UI
