Administrative UI Experience
BetaAvailability: Beta Available for All Enterprise DAM customers
We're excited to introduce a redesigned Administrative experience. Admin, now renamed to Settings, has been rebuilt to feel faster, look and behave like the rest of Tenovos, and keep you in context while you work, so administrators spend less time waiting on pages and re-finding their place.
The Administrative UI Experience will continue to evolve throughout the Beta. Additional Settings enhancements are still on the way, so what you see in UAT during the Beta may not be the final version of Settings, and some of the capabilities described below will arrive in later updates.
Platform Overview
Settings now opens to a new Platform Overview page: a single place to see what needs your attention across the platform, how close you are to your subscription limits, and how your people, content, and metadata are doing.
- At-a-glance stats at the top of the page show seats used, storage used, enabled users, and total assets.
- Needs attention lists the items that need action, with the most urgent first. This includes limits you've reached (such as Tenovos Connect seats) and cleanup opportunities like unused metadata templates, attributes, groups, vocabularies, and tables. Select Review next to any item to go straight to it.
- Subscription shows your plan, subscription period and days remaining, renewal dates, and enabled add-ons, with quick links to contact Customer Success or submit a support ticket.
- Capacity shows usage against each plan limit, highest use first (including Tenovos Connect seats, facetable attributes, metadata templates, users, security roles, security groups, and security templates), along with how your storage is split between originals and renditions.
- Your activity summarizes the changes you've made recently, filterable by area.
- People & access shows users by role and recently updated users, along with totals for roles, groups, and security templates.
- Content shows totals for assets, collections, featured collections, spaces, locked assets, and items in the Recycle Bin, plus a breakdown of assets by file type.
- Metadata shows totals for templates, attributes, groups, vocabularies, cascades, and tables, each with how many are in use and unused, plus the templates applied to the most assets.
Each section links to the related Settings page, so you can move from insight to action in one click.
The sections and statistics shown on Platform Overview depend on the privileges assigned to your role, so each user only sees information for the areas they have access to manage.
New Navigation and Page Layout
- A new side navigation menu replaces the previous top navigation bar, grouping pages into clearer categories so you can find what you need faster.
- Each main Settings page opens with a page banner that explains what the page is for, shows at-a-glance totals, and keeps the page's primary action in a consistent place.
- The Branding and Page Layout pages have been redesigned with grouped settings, making it easier to configure your tenant's look and feel.
Faster, More Consistent Tables
- Every Settings list now shares one table design: columns are sortable, filterable, and resizable, alignment is consistent, and dates display in a short, readable format.
- Your search results are kept after saving. When you save a change and return to the list, your search terms and sort order are still applied, so you can move straight on to the next update instead of searching again.
- Page data refreshes automatically after a record is created, updated, or deleted, so the list always reflects your latest changes.
- Editing now happens through a clear Edit action in each row's Actions column, rather than by clicking anywhere on the row, so it's always obvious what a click will do.
- When you select multiple rows (where applicable), a bulk actions bar shows how many items are selected and lets you clear the selection in one click.
Create and Edit in Side Drawers
- Create and edit screens now open in a side drawer over the list, instead of separate pages and pop-up modals, so you never lose your place. This includes:
- Metadata: Attributes, Vocabularies, Cascades, Groups, Templates, and Tables
- Security: Users, Roles, Security Groups, Security Templates, Access Templates, and Rights Templates
- Content: Tiles, Tile Sections, and Asset Badges
- Metadata screens with more content open in a wider drawer, giving you room to work.
- Security Groups can be created one at a time or by pasting a list, both from the same drawer.
- Duplicate a Role, Access Template, or Rights Template to start from an existing setup instead of building it from scratch.
A New Way to Create and Edit Cascades
Creating and editing Cascades has been completely redesigned. Previously, the editor expanded every mapping in a Cascade at once, which could quickly become overwhelming for larger Cascades. The new editor uses a column-based view, similar to the column view in a desktop file browser.
- Each level of the Cascade appears in its own column, from left to right.
- Selecting a value shows only the values mapped to it, in the next column.
- As you drill in, you see just the path you're working on, making it much easier to review, build, and update even large Cascades.
See Where Metadata Is Used
- Metadata pages now show how many records are in use and how many are unused, making it easier to spot candidates for cleanup.
- Filter and sort Attributes, Groups, and Templates by whether they are in use. Attributes can also be sorted and filtered by type, and filtered by where they are used, such as Cascades, Tables, Groups, Templates, or Filter Presets.
Managing Users
- Choose which columns appear in the Users table by selecting the gear icon. Previously, the table showed a fixed set of columns. Now you can show the details that matter most to you when reviewing users, and hide the ones you don't need. Everyone starts from a default set of columns, and your choices are saved just for you.
- The Users table now offers more ways to sort and filter, including by Role, Groups, and status, with a count for each status tab.
- A new Connect User column (with a filter) shows at a glance who has Tenovos Connect access, without opening profiles one at a time.
- The selection checkbox column stays visible as you scroll horizontally, so you can always see which users are selected.
- From the user details drawer, you can now Impersonate a user or Copy User ID directly, without returning to the list.
Tiles and Asset Badges
- Create Tile now opens in a side drawer, with Next, Back, and Save fixed at the bottom so they're always in reach.
- Creating a Tile Section now uses a drawer with inline validation, so empty or duplicate section names are flagged before you save. You can also reorder existing sections while creating a new tile.
- Hover over a tile and select Preview Tile to see exactly how it will look, including image cropping and text, before it goes live.
- On Asset Badges, the Enabled toggle now sits in the Actions column, consistent with other Settings pages.
Personal Request Inbox Columns
- The Request Inbox column configuration page in Settings has been removed. Instead, each user can now choose the columns they want to see by selecting the gear icon on the Request Inbox page. Everyone starts from a default set of columns, and any changes are saved per user, so everyone can tailor the inbox to the information that matters most to them, without needing an administrator to change it for the whole organization.
Accessibility
- The redesigned Settings experience has been checked against WCAG guidelines, with improved keyboard navigation and accessible labels on buttons, form fields, and menus for screen reader users.
Please contact the Tenovos Customer Success team to enable this feature for your organization.
General UI Enhancements
enhanced- Sign-in page: The sign-in page has a refreshed, modern look. The Sign in button is now larger and easier to spot, and the sign-in options are grouped together in a single card. Create account now appears as a simple link beneath the button, so the primary action is always clear.
- Upload Assets: The drag-and-drop area on the Upload Assets page has a cleaner, updated design, and the entire area is now clickable. Click anywhere in it to open your computer's file browser, or drag files onto it. You can now keep adding files this way even after assets have already been added to the upload, instead of being limited to drag and drop.
- Request Inbox: The Request Inbox has been redesigned as a clean, full-width table, so you can see and scan more requests at once.
- Request details now appear in labeled columns (Request Status, Request Title, Request Type, Submitted By, and Approvers) instead of being repeated on every row.
- Submitted By and Approvers show each person's avatar and full name, rather than truncated names and email addresses.
- The Filters panel now opens from the filter icon next to the item count, giving the request list the full width of the page when filters aren't needed.
- The total number of requests is displayed above the list.
-
Security Templates: View Asset is now listed as its own permission in Security Templates. Previously, selecting the checkbox next to a group name granted view access without saying so. Now it's clear exactly what each group can do. View Asset is automatically selected and locked whenever a group is granted any other permission, and existing Security Templates keep the same access they have today.
-
Metadata Copy and Paste: The metadata clipboard has updated styling, consistent with the rest of the application. Learn more about Metadata Copy and Paste.
-
Job Tray: The job tray, seen when uploading content, creating a relationship, etc., has updated styling for a more modern look and feel.
REST API
APIThe redesigned Settings experience is built on a new set of REST API endpoints, and those same endpoints are now available to you. You can manage metadata structures, security, and users programmatically, with the same search, filtering, sorting, and pagination you see in Settings. Each endpoint requires the same administrative privilege as its corresponding Settings page.
Metadata
- Metadata Cascades: New endpoints to list, create, retrieve, update, and delete cascades:
GET /metadata/cascades,POST /metadata/cascades,GET /metadata/cascades/{id},PATCH /metadata/cascades/{id}, andDELETE /metadata/cascades/{id}. The list supports search, sorting, and pagination, and shows where each cascade is used, so you can filter to cascades that are in use, unused, or referenced by Metadata Tables, Templates, or Groups. - Metadata Tables: New endpoints to list, create, retrieve, update, and delete tables:
GET /metadata/tables,POST /metadata/tables,GET /metadata/tables/{id},PATCH /metadata/tables/{id}, andDELETE /metadata/tables/{id}. Filter the list by usage or by smart versus standard tables. A newPOST /metadata/tables/{id}/convert-to-smartendpoint stages a one-way conversion of a standard table to a smart table, which completes when changes are applied in Settings. - Metadata Vocabularies: A new
GET /metadata/vocabulariesendpoint lists vocabularies with search, sorting, and pagination, and can filter by where each vocabulary is used across attributes, cascades, tables, groups, and templates. Full vocabulary values can be included on request. - Metadata Attributes:
GET /metadata/attribute/{id}can now return an attribute's controlled vocabulary values, along with any synonyms, in a single call (include=values), with search and pagination across the values. - Usage filters: The attribute, group, and template lists (
GET /attributes,GET /metadata/groups, andGET /metadata/templates) can now be filtered and sorted by whether each item is in use. Attributes can also be filtered by type and by where they are used. - System and protected definitions: The metadata list endpoints exclude system definitions by default (
includeSystem) and let you hide protected definitions (includeProtected). System definitions cannot be updated or deleted, and protected definitions cannot be deleted or renamed, which helps prevent accidental changes to definitions the platform depends on.
Security
- Security Templates: New endpoints to list, create, retrieve, update, and delete Security, Access, and Rights Templates:
GET /security/templates,POST /security/templates,GET /security/templates/{templateId},PATCH /security/templates/{templateId}, andDELETE /security/templates/{templateId}. When retrieving a single template, you can search and page through its groups. A newGET /security/templates/userendpoint returns the templates the signed-in user can view, or those that grant them a specific permission. View Asset is now returned as an explicit Security Template permission, matching the change in Settings. - Security Roles: New endpoints to list, create, retrieve, update, and delete roles:
GET /security/roles,POST /security/roles,GET /security/roles/{id},PATCH /security/roles/{id}, andDELETE /security/roles/{id}. The list includes privilege and user counts for each role. A role can't be deleted while it is assigned to users. If it is only used in Filter Presets, it is deleted and automatically removed from those presets. - Security Groups: New endpoints to list, create, retrieve, update, and delete user groups:
GET /security/user-groups,POST /security/user-groups,GET /security/user-groups/{id},PATCH /security/user-groups/{id}, andDELETE /security/user-groups/{id}, with user counts in the list. A newPOST /security/user-groups/bulkendpoint creates many groups in one request. It is all-or-nothing, so if any group can't be created, none are.
Users
- A new
GET /usersendpoint returns a paginated list of users, with search, filtering by status, role, and group, and sorting. Each user includes their status (including pending approval), role name, group names, avatar, and Tenovos Connect access. - A new
GET /users/status-countsendpoint returns the number of enabled, disabled, and pending-approval users in a single call. GET /search/users/{searchText}now matches on username as documented, and returns when each user was created and last updated.
